1. Overview

XYROLIMS digitizes the complete lifecycle of a testing laboratory under a single, unified architecture.

Customers & Projects

Maintain a customer database, track incoming enquiries, and manage ongoing projects.

Quotation & AMC

Generate quotations and AMCs with line-item pricing, discounts, VAT, and tech proposals.

Sample Tracking

Register, collect, receive, and trace samples through the pipeline with barcode support.

Test Execution

Assign tests, enter results using dynamic configurable templates, and store structured data.

Quality Assurance

A strict Department Head workflow with approve, recheck, and reject capabilities.

Reports & invoicing

Branded PDF test reports, delivery notes, and tax invoices with previews where supported.

Daily operations

  • Annual Maintenance Contract (AMC) management with cycle tracking.
  • Complete revision history; one-click duplicate for fast generation.
  • Technical proposal generation and comprehensive approval workflows.

Test Assignment & Result Entry

  • Assign tests to lab technicians individually; hide tests for workflow control.
  • Template-driven, configurable result entry forms with dynamic validation.
  • Supports text, textarea, integer, decimal, date, select, multiselect, file inputs.
  • Equipment, reagent, and media selection directly integrated into the forms.

Equipment, Reagent & Standardization

  • Full equipment registry with calibration reminders and daily check sign-offs.
  • Reagent preparation records (lot/batch trackable) and media verification (sterility/pH).
  • Global standardization records tracking N1, V1, N2, V2 values.

Registration, delivery & billing

  • Registration and sample workflows with bulk receive and collection detail updates.
  • Delivery notes with PDF download and delivery tracking.
  • Tax invoices including draft preview, PDF output, and numbering helpers.

3. Core Workflow

Understanding the flow of data is crucial. View the dedicated Workflow documentation for a visual breakdown.

4. Module Glossary

Enquiry & Quotation

Draft support, department addition approvals, technical proposals, and multi-location sampling.

Registration & Collection

Barcode generation, on-site measurements (temperature, pH, DO, chlorine), bulk lab receiving.

Work Sheet

Lab technician's primary view for entering test results based on assigned templates.

Equipment & Reagents

Calibration tracking, expiration dates, department head approval, and audit trails.

Parameters

Global testing catalogs with specific pricing, duration, methods, limits, and units.

Reports, delivery & tax invoices

Report drafts, combined and per-sample work reports, delivery notes, and tax invoice PDFs linked to the same job data.

Quality & approvals (Department Head)

Result and equipment workflows with approve or send back; media and reagent prep approvals; sample disposal decisions; equipment failure analysis documentation where used.

5. Result Entry Architecture

The result entry system forms the backbone of the LIMS, designed entirely around a template-driven architecture ensuring infinite flexibility.

  • Dynamic Field Resolution When a test opens, the system matches (Department + Sample Type + Parameter + Method) to generate the exact input form required.
  • Extensive Input Types Text, integers, decimals (with precision restrictions), dates, dropdowns, files, and more.
  • Relational Data Sourcing Dropdown options can be populated automatically from Media prep records, Equipment lists, or global dictionaries.

6. Report generation & documents

Department Heads build and approve formal outputs from completed work. The same platform issues the commercial and logistics paperwork that follows the samples.

  • Final and draft report PDFs, combined reports, and work-report variants per your configuration.
  • Delivery notes and tax invoices with PDF download and preview paths where enabled.
  • Technical proposals and edited quotation or AMC PDFs during the sales cycle.
  • File preview for uploaded attachments where the application exposes a preview action.
  • Secure download routes for training and file bundles configured by administrators.

7. Departments & catalogs

The system is pre-configured to handle three primary analytical disciplines, separating logic and approving chains.

Chemical

Drinking Water, Sewage Effluent, Marine Water, Hazardous Waste.

  • • pH, Turbidity, TDS
  • • Heavy Metals, BOD, COD
  • • Dissolved Oxygen, Alkalinity

Microbiology

Food, Air, Swabs, Surface Tests, Potable Water.

  • • Total Coliforms, E. coli
  • • Salmonella, Legionella
  • • Yeast, Mould, Plate Counts

Environmental

Ambient Air, Stack Emissions, Noise, Light.

  • • PM2.5, PM10
  • • SO2, NO2, CO, VOCs
  • • Noise Levels, Lux Levels

8. Suitability & compliance

Designed for ISO/IEC 17025

Built to accommodate audit trails, calibration and equipment checks, and multi-tier approvals typical of accredited commercial and third-party testing laboratories.

9. Roles, modules & what you see

XYROLIMS is organized around superuser, admin, and software user accounts. Not every screen appears for every login: admin menus follow module assignment, and several lab views depend on role (data entry, sample collection, lab technician, department head) and often department context (chemical, microbiology, environmental).

  • If a capability is missing from your menu, your administrator may need to assign the relevant module or role.
  • Operational APIs and integration-style endpoints (for example, submitted results retrieval) are intended for in-app flows and trained use—not a substitute for full menu access.

Open the Admin Guide for the configuration side of users, modules, and result entry setup.
